Correspondence Management Advisor

Job summary

The correspondence management team are based in Withernsea and we now seeking a dedicated individual to fill a team vacancy. CorMa administrators receive and process all clinical information arriving at Holderness Health and ensure that it is processed in line with practice policy. The documents arrive through a variety of channels and must be processed as swiftly and accurately as possible to ensure continuity of care for our patients and also for completeness of patient medical records.

The hours for this role will be Monday and Tuesday 08.00 – 17.00 and Thursday 08.00 – 16.30.

Main duties of the job

CorMa team members need to have strong literacy skills, keyboard skills and a knowledge of EMIS would be helpful along with an understanding of medical terminology. Team members must be focused and able to pay attention to detail. Most information arrives electronically, and any paper information is scanned prior to processing. The job involves identifying significant new episodes and diagnosing a patient’s medical care and entering this information into the patient’s summary before deciding the next steps i.e., whether the document then needs forwarding to a clinician or pharmacist for further action or if it should be filed. Ensuring no information is missed whilst processing, provides the practice with the information necessary to offer review appointments and vaccinations, as well as updating records with any new care plans and treatments.

CorMa team members are occasionally required to liaise with GPs, Secretaries and Hospital Departments to ensure that correct and timely measures are taken when processing information.

About us

The CorMa team are a team of 6 working various hours and shift patterns Monday to Friday between the hours of 08:00 and 18:30.

The team member requires high levels of attention to detail and concentration while work is processed in the busy office. The team have developed a daily routine to ensure that the day’s workload is distributed appropriately, this helps to maintain each team members skills.

The administrators are supportive of each other and will welcome you and help you to develop your skills as a member of the CorMa team.

The team work in our Withernsea premises, however, you should be aware that you could be asked to travel to any of our other buildings if required.

Medical Secretary

Job summary

Our secretarial office is extremely busy, and our new team member must have the ability to focus in this friendly but busy environment. You will work closely with your colleagues to deliver a swift and accurate secretarial service giving attention to detail and taking pride in your work.

The work undertaken in the office is generated either by audio dictation or textual communications and the team will be more than willing to coach and advise you on their systems and workflow. The hours for this role will be Wednesday, Thursday and Friday with one 9-hour shift and two 8-hour shifts. This will be confirmed on appointment.

Main duties of the job

We are looking for someone experienced in working as a medical secretary in a healthcare setting. Applicants must be capable of typing accurately and understand medical terminology, experience of various computer applications would be a benefit to you. The clinical system used at the practice is EMIS in conjunction with ERS, Accurx and Lexacom. Following and adhering to all practice policies and procedures will assist you in becoming a strong team member.

Our secretaries process referrals on behalf of the clinicians and forward them to the relevant service for actioning. Other duties include investigating the progress of referrals that have been made, typing of reports and minutes, speaking on the telephone with patients and their carers to ensure they have the information they require to communicate with the departments taking care of them. The work of a Medical Secretary also involves liaising with practice clinicians and managers, patients, and carers as well as other healthcare professionals outside of Holderness Health.

The successful candidate will be professional and polite, self-motivated, a great communicator, with enthusiasm, patience, excellent customer service skills and a sense of humour.

Patient Services Team Member

Part Time £8.91 per hour

  • Ensure an effective and efficient Patient service is provided to patients and any other visitors to the practice
  • Provide care navigation/signposting of patients
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments.
  • Using your own judgment and communication skills, ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, and ensure procedures are completed.
  • Liaise with other clinical staff including District Nurses, Health Visitors etc.,
  • Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
  • Enter requests for home visits into clinical system, ensuring to carefully record all relevant details and referring to duty doctor where necessary.
  • Advise patients of relevant charges for private (non General Medical Services) services.
  • Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to.
  • Ensure the kitchen is kept clean and tidy and air and tidy the waiting room in turn with other staff.

Advanced Clinical Practitioner

About this Role

The advanced clinical practitioner will work collaboratively with the general practice team to meet the needs of patients and support the delivery of policy and procedures. They will have the ability to prioritise and make any necessary referrals for investigations in the appropriate manner and be flexible and responsive to patient needs.

About You

You will have a relevant qualification at Degree Level or equivalent as well as having up to date membership of a relevant professional register.

Post qualification experience is essential to this role.
